Instant Email - Quick and Easy! Print E-mail

We've all probably seen those people walking around with BlackBerry handsets haven't we ? Sure, you can now get your email delivered directly to your Smartphone or other Windows Mobile device. It's great isn't it ? All you need to do is ensure you've got the necessary push email updates and you're away, right? Well.. no..

The brutal truth is that a BlackBerry is a lot easier to setup for getting instant or "always on" email than a Windows Mobile device. Blackberry users simply go to their existing email server and forward a copy of all their messages to something like "07976000000@t-mobile-instant.email.com" and they're done. In fact, I've lost count of the emails I've received saying, "Why isn't it that easy with my Smartphone or Pocket PC?". I agree. Setting up an Exchange Server, then setting the correct bits on your phone may seem like an ominous task, but thanks to Mail2Web Live it's just got a whole lot easier. In fact, you can get your mail delivered to you in minutes for free just by following these steps...

1) First up we need to go to Live.Mail2Web.com. Create a new account by clicking..



2) Enter all your details in the next box like this...



3) After entering your details it'll ask you about some BlackBerry nonsense, which we'll ignore.. ;)



4) Next up we'll log in. If you haven't already been dropped back to the home page click here for their login page. Click the "Login" button..



5) You'll get a Windows security box appear, which is where you enter the username and password you chose. Don't forget to "fully qualify" it, so that it reads "username@mail2web.com"..



6) Once done you should wind up in a familiar looking webmail interface with a test email in it.



7) Now we need to get into your control panel. From this screen it's probably easiest to click this button, which we'll discuss in full in a minute...



8) You should now see your control panel. You may see an agreement page, which you need to accept, but if you don't see either try clicking the "mail2web LIVE" link on the left..



9) Once you've clicked this you should see your control panel options like this...



10) Click the "ActiveSync Settings" option so that you can find your Exchange settings. Here you'll also find your web access details and more - very useful for the mobile worker!



11) Now, to put your details into your handset. In this example I'm using the Orange SPV C600 with the "Push email" update. Your handset must have the push email update to work correctly. I found that the easiest way of setting this up was to ActiveSync the phone - just plug it into the computer. Next, open up Microsoft Activesync (the little green spinning ball) and click "Tools" then "Add Server Source" like this..



12) In the next screen you need to enter all the details you retrieved from step 10..



...it'll then go off and get the relevant settings..



13) Next up is the Options. Here I want to syncronise my Contacts and Calendar with my Desktop PC, but my Email and Tasks with the Exchange server at Mail2Web.com, so I have it set up like so. You can alter this as you wish but you'll obviously need to sync your email with the Mail2Web server to get the push email facility..



14) When you click "OK" your phone may display this...



..just click OK and it should then go to your Outlook inbox. If not, go to "Messaging" and select it..



This is a test email sent by the mail2web guys to check that everything is working. Open it up and you'll see the content..



15) Now you can un-hook your phone. You'll notice that the GPRS or 3G data connection is on quite a bit but don't worry - you only get charged for the data travelling down these connections, not how long you're online for. To stop this "push email" facility you need to go into your Comm Manager, which looks like this on the C600..



..notice that "Microsoft DirectPush" is enabled? You can turn that off or on with a simple click to stop your handset automatically getting the latest email.

16) Ok, you're pretty much done now. You can also sync your contacts and everything else this way too if you feel, which is a great way of keeping everything centralised. However, the one thing you'll probably all want to do is forward your existing email account to it because you may not want to give out "username@mail2web.com" as your new email address. To do this you have two options, either forward it yourself with your current ISPs' control panel so that a copy of your emails is forwarded to this account - or you can set the Mail2Web Aggregator to grab mail from your existing account and lump it together in this one. To do this go to your control panel (mentioned earlier) or hit the "Email Aggregation Settings" button...



..then put in the server, username and password for your normal POP3 account...



..and that's it. All done. At the time of writing Mail2Web Live is in beta, but you can sign up and use it for free and it works extremely well! Top work guys!
